Submitting an application does not automatically subscribe you to optional marketing.
5. Consent
We obtain meaningful consent where required. Consent may be express or implied depending on the sensitivity of the information and the reasonable expectations of the individual. We may collect, use, or disclose information without consent where permitted or required by law. We will not handle personal information for purposes a reasonable person would consider inappropriate.
You may withdraw consent, subject to reasonable notice and legal or contractual restrictions. Withdrawal does not affect handling that occurred lawfully beforehand. If required information or consent is withdrawn, we may be unable to process an application or continue providing a program or service.
6. How we disclose information
We may disclose personal information, as reasonably necessary, to:

- law-enforcement, regulatory, government, or judicial authorities where permitted or required by law.
We do not sell personal information. Program-specific notices may identify the responsible ministry, funding partner, reporting system, placement partner, or other recipient and form part of the privacy information for that program.
7. Service providers and processing locations
We require service providers to protect personal information through contractual or other appropriate safeguards and use it only for authorized purposes.
Information may be processed or stored in Canada or another jurisdiction where we or our providers operate. Information outside Canada may be subject to that jurisdiction’s laws and accessible to its courts, law-enforcement agencies, or regulators. Contact our Privacy Officer for additional information about service providers outside Canada.
8. Cookies and analytics
Our website uses basic technical tools needed to operate securely. We may also use limited analytics to understand general website traffic and improve the site. This may include IP address, browser or device type, pages visited, and the date and approximate duration of a visit. We do not use this information to make decisions about your eligibility for a program.
Where required, we request consent before using non-essential cookies. You can manage cookies through your browser or available website controls.
Third-party links, plug-ins, and services are governed by their own terms and privacy policies. We do not control those third parties.
9. Marketing communications
Where required by Canada’s anti-spam legislation, we obtain consent before sending commercial electronic messages. Messages will identify the sender and include an unsubscribe mechanism. You may unsubscribe through the message or by contacting info@cubetech.ca. We may retain limited information needed to honour the request.
Unsubscribing from marketing does not prevent administrative communications about an application, active program, placement, safety issue, or legal obligation.
10. Retention and disposal
We retain information only as long as reasonably necessary for the identified purposes and legal, funding, audit, accounting, reporting, certification, contractual, dispute-resolution, and operational requirements. Periods vary by program, information, and funding agreement. When no longer required, information is securely deleted, destroyed, or anonymized, subject to technical backup limitations and continuing legal requirements.
11. Safeguards and incidents
We use administrative, technical, and physical safeguards appropriate to the sensitivity and risks, including access restrictions, authentication controls, confidentiality obligations, training, secure systems, vendor controls, and secure disposal practices.
No transmission or storage method is completely secure. If a breach occurs, we will investigate and take appropriate steps, including notifying affected individuals and reporting to the Office of the Privacy Commissioner of Canada where required.
12. Access, correction, and choices
Subject to legal exceptions, you may make a written request to:
- access personal information about you under our control;
- learn how it has been used and to whom it has been disclosed;
- correct inaccurate or incomplete information; or
- withdraw consent to future handling where consent applies.
You may ask us to delete information. We will consider the request, but deletion may not be possible where retention is required or permitted for legal, funding, contractual, certification, security, dispute-resolution, or operational reasons.
We may verify your identity before completing a request and will use verification information only for that purpose. We generally respond to a written access request within 30 days, subject to extensions and exceptions permitted by law. If we cannot provide access or make a change, we will explain why where legally permitted.
13. Complaints
Send privacy questions, requests, or complaints to our Privacy Officer. We will investigate complaints and take appropriate corrective measures where warranted. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada.
14. Children and age requirements
Our training programs are generally intended for adults and may have specific age requirements. We do not knowingly collect information online from children under 18 without authorization required by law. Contact our Privacy Officer if you believe a child provided information without appropriate authorization.
15. Changes to this Policy
We may update this Policy to reflect changes to our practices, services, or obligations. We will post the revised Policy and update the date above. Where a material change requires new consent, we will seek it as required.
